Email on the Mac  

If you intend to use Qasper Sync to synchronize emails sent to and received from contacts in your Qasper database, you need:

  • Qasper Synchronization desktop application.

  • An email client (for sending out emails).

  • Everyone using either Qasper or Google Gmail for outbound emailing purposes. 

Qasper Synchronization will access your sent emails by checking in with your email client host. 

Because your email client host typically does not store your outgoing emails, you will route outgoing emails through your Gmail account. Gmail does store your outgoing emails, so Qasper Sync can access them from there.

To make this happen, everyone will need a Gmail accounts that will be used to store outgoing emails.

Here's an outline to using your Mac so that sent emails can be synced into Qasper - it's pretty simple:

1. Set up a Gmail account. In that account, set up a second email account using the email you prefer for business. This example will use fred.dal@qasper.com.

2. On your Mac or Apple device:

a. Add the email you prefer to use for business. It might already be set up.

b. Change the Outgoing Mail Server to point to the Gmail account.

c. Set the option to delete the server messages to wait one week before deleting.

On your Mac

To enable synchronization of emails sent on a Mac or computer running Apple O/S, you need to use a third party email server that stores sent messages. Gmail is a free email service that can act as an email server for such purposes.

That third party server (Gmail) is then accessed by the Outlook installation which, in turn, is the source for Qasper Synchronization's syncing functionality. Below, the [Outlook] box is optional:

To do this:

Google GMail:

1. Set up a Gmail account: http://mail.google.com/mail. If you already have one, log into it.

   To set up a Gmail account: 

a. Go to http://mail.google.com/mail

b. Select [Create an account]

c. Enter:

i. First name
ii. Last name
iii. Desired login name: Try:
firstname.lastname
lastname.firstname
firstnamelastname
iv. Password
v. Security question
vi. Recovery email: use your business email address - the email address you want for Qasper. In this example, that's fred.dal@qasper.com

d. Verify and accept to create your account.

When your account displays, you will have your gmail email name. For example: dalgleish.fred@gmail.com

2. Click Settings in the upper right area.

3. Click [Accounts and Import]:

4. Add a new account with the email address you want. For example, I want to use fred.dal@qasper.com. Make sure you set this account as the default account. That will ensure that Gmail sends the email on behalf of that address.

5. Ensure the new account is set as the default account.

6. Gmail will send an email to the new address. You must confirm this in order to use the new email address. The email from Gmail will look something like this:

You have requested to add fred.dal@qasper.com to your Gmail account.
Confirmation code: 789123456

Before you can send mail from fred.dal@qasper.com using your Gmail account (qaspertest@gmail.com), please click the link below to confirm your request:

If you click the link and it appears to be broken, please copy and paste it into a new browser window. If you aren't able to access the link, please log in to your Gmail account, and click 'Settings' at the top of any page.
Open the 'Accounts' tab, and locate the email address you'd like to add in the 'Send mail as:' section. Then, click 'Verify,' and enter your confirmation code: 789123456

On your Mac/Apple device:

   Steps to transform your current Mac/Apple device's email server to the Gmail server:

1. Go to your Mac computer and in Mac Mail add the Gmail account that you want to use (Mail > Preferences > [+] at the bottom left, then add the account information). 

Add account

Full name: [enter the account name. For example, John Smith]

Email Address: [enter the address you want to use. For example, john.smith@mydomain.com]

Password: [enter the password for that account]

Incoming Mail Server

Account type: POP

Description: [typically, the account name]

Incoming Mail Server: mail.yourdomain.com (or whatever yours is)

User name: [your user name for that account, often myname@mydomain.com. Example, john.smith@mydomain.com]

Outgoing Mail Server

Description: [typically, the account name]

Outgoing Mail Server: construct it, something like this: 

smtp.gmail.com:mygmailname@gmail.com

or

smtp.gmail.com

In the example above, some of the information is:

fred.dal@qasper.com
 
Incoming Mail Server: mail.qasper.com (or whatever yours is)
Outgoing Mail Server: smtp.gmail.com:dalgleish.fred@gmail.com  (note how this is constructed: server name, colon, email name).
 
Password: [enter your password]

3. If the Mac is your primary email computer, set the account to either never erase copies of sent messages or wait a week before erasing copies of sent messages for that account. To do that:

Select Mail > Preferences > Accounts

Select the account you want to use (in this example, fred.dal@qasper.com

Select Advanced > Remove copy from server after retrieving a message > After one week (or Never - your choice).

The idea of not erasing the messages immediately is so that the Outlook server that feeds Qasper Sync will have time to also fetch the sent message. Never is probably way too much. Even a week isn't necessary. The ideal is probably about 3 days, but Mac Mail doesn't seem to let us specify anything less than a week.

With this setup, send your emails from your Apple/Mac device using the account (in this example, fred.dal@qasper.com) and they will go through the Gmail server and thus be available to Qasper Sync via Outlook.

That's it for individual setups. Now, the administrator has some work:

In the Outlook installation that is being used for Qasper Sync, add the Gmail account. In this example, that's dalgleish.fred@gmail.com. It will look something like this in Outlook:

To do that:

1. Select Tools > Account Settings > [New...].

2. Email service is (.)Microsoft Exchange, POP3, IMAP or HTTP then [Next]

3. Select []Manually configure server settings... and [Next]

4. Select Internet E-mail and [Next]

5. Complete the credentials. Typically:

E-mail address: dalgleish.fred@gmail.com

  • Account type s/be IMAP
  • Incoming mail server: imap.gmail.com
  • Outgoing mail server (SMTP): smtp.gmail.com
  • User Name: typically the email address
  • Password: [enter your password]

6. Click [More settings]. Check with Google, but typically:

  • Mail Account: the email address
  • Folders: (.)Save sent mail in the Outlook Sent Items folder
  • Outgoing Server: check []My outgoing server (SMTP) requires authentication and (.)Use same settings...
  • Advanced tab: Incoming server: try 993 with SSL, Outgoing server: 465, Use SSL encryption.

    Alternative: Set up as POP and use:

    Incoming Mail Server: pop.gmail.com
    Incoming Port: 995 SSL
    Outgoing Mail Server: smtp.gmail.com
    Outgoing Port: 587 SSL

7. Test your connection.

In Outlook, it will show up something like this:

Setting up on your iPhone/iPod Touch.

The same priniciples hold. Set up a Gmail account, then set up the account you want to use.

Here's the outline:

You don't need to set up the @gmail account. Just set up the account you want to use. To do that:

1. Select Settings > Mail… > Add account.

2. Set up the account you want to use (ie. fred.dal@qasper.com) with settings like this:

Type: POP

Name: Fred Dalgleish

Address: fred.dal@qasper.com

Description: fred.dal@qasper.com or whatever

Incoming mail server:

Host: mail.qasper.com

User Name: fred.dal@qasper.com

Password: [enter your password]

Outgoing Mail Server:

SMTP:

         Server name: smtp.gmail.com

         Settings:

         Host name: smtp.gmail.com

         User Name: dalgleish.fred@gmail.com

         Password: [enter your password]

Use SSL: ON

Advanced:

Remove: Never

So you end up with 1 account on the iPod/iPhone - the account you want to use: fred.dal@qasper.com, pointing to the gmail server with credentials (dalgleish.fred@gmail and password)

When sending emails from your device, use that account.
